Every Certificate Checked in Seconds, Not Read by Hand.

AI Document Review runs when a document is uploaded to a Document Category with AI review switched on. It checks the file against that category’s criteria, reads the expiry date, name, and document number off the page, and shows what passed before approval. The approver sees the results and a recommendation, then decides.

  • Your criteria, per document type. Write them on a custom category, or take a category from the Global Document Library, whose criteria ComplyFlow maintains.
  • The expiry read, then confirmed. The date read off the document is shown beside the one entered, for the uploader and the approver.
  • The ordinary path is still there. If a check fails, the uploader can try again, replace the file, or upload it the ordinary way.

In Account Settings, a Document Category holds what a document of that kind must show and the hints that help the AI identify it. Switch AI review on for a custom category and write the criteria in your own words, or use a category from the Global Document Library, whose criteria ComplyFlow keeps up to date.

The Upload, Checked While It Lands.

The Worker, Supplier, or a staff member on their behalf uploads the document. The panel shows each stage as it completes and lists the criteria being checked. The expiry date read from the document is shown for correction, then the document is submitted for approval.

The Approver Decides, With the Reasons in Front of Them.

The approver opens the document from the dashboard or the Documents tab on the Worker, Supplier, staff, or plant record, and sees which criteria passed, the extracted expiry beside the entered one, and a recommendation. They approve, reject, or transfer the approval. Nothing is approved without a person.

Questions People Ask About AI Document Review.

Does the AI approve or reject the document?

No. It checks the document against the criteria on its category and shows what passed, what did not, and a recommendation. The approver sees that alongside the document and decides. Nothing is approved, rejected, or changed without a person.

Which documents does it check?

Any document uploaded to a Document Category with AI review switched on: licences, tickets, insurance certificates, and the other documents a Worker, Supplier, staff member, or plant item holds. It accepts JPEG, PNG, and PDF, up to 20 files and 60MB in one upload.

What does it read against?

The criteria on the Document Category. For a custom category you write them, along with the hints that help identify the document. For a category taken from the Global Document Library, ComplyFlow writes and maintains them.

What if the AI cannot tell what the document is?

The uploader selects the correct document type and the check runs again. Replacing the file starts a fresh check, and the ordinary upload path is always there.

Is this the same as the AI review on a safety plan or SWMS?

No, and the difference matters. This page is the check on a compliance document at upload. A safety plan, method statement, or written answer submitted on a form is graded by an AI agent you build, with a score and feedback per criterion. The two use the same idea, your criteria, and produce different results.
