Global Documents

Upload the Certificate Once. It Counts Everywhere.

A public liability certificate does not change depending on who is asking for it. A Global Document is approved once, by ComplyFlow, and accepted by every Client that opted in, with one status that is the same everywhere.

  • Contractor Admins
  • Procurement
  • Insurance & Legal
  • Facilities
Approved once. One status. Shared only where a Client has asked.

What a Global Document Is.

A Global Document is a contractor document, such as a public liability certificate or a Worker qualification, that ComplyFlow approves once centrally. Every Client that has opted in accepts it without a fresh upload or a fresh review, and it carries one status across all of them.

  • One upload, one review, one status. Approved, pending review, or expired is the same word at every Client, rather than five records drifting apart.
  • Approved by ComplyFlow, not by whoever asked first. Global Documents are managed by ComplyFlow staff and designated Global Approvers, so the standard is the same each time.
  • Shared only where a Client has asked for it. A Global Document reaches a new Client only if the contractor has been assigned to that Client by an admin and that Client requests that document.
  • Company documents and Worker documents both. Insurances on the company side, tickets and qualifications on the Worker side.

How It Works

Three Screens, One Certificate.

Follow one public liability certificate from upload to five Clients.

Upload It Once, Where You Already Work.

The contractor uploads the certificate on their own account, with its expiry date, against the requirement that asked for it. Nothing about the upload is different because it will become global; the difference is what happens after.

  • One account, every Client on it
  • Expiry captured at upload
  • Bulk upload works the same way

ComplyFlow Approves It, Not Five Separate Reviewers.

ComplyFlow staff and designated Global Approvers review the document against one standard. That is the whole reason a Client can accept it without looking: the review already happened, and it happened the same way it happens for everyone else.

  • One review, one standard
  • One stated reason if it is rejected
  • Superseded copies stay in the history

It Appears Where It Was Asked For, and Nowhere Else.

When the contractor is assigned to a Client and that Client asks for public liability, the approved certificate is already there. If the Client never asks, it is never shared. When the certificate expires, every Client sees it expire on the same day.

  • Assignment, then a request, then the share
  • One status at every Client
  • Expiry lands everywhere at once

Questions

Questions About Global Documents.

Who approves a Global Document?

ComplyFlow staff and designated Global Approvers, centrally. That is deliberate: the whole value of a Global Document is that one review to one standard stands in for the review each Client would otherwise do separately.

Can a Client see my documents before they have engaged me?

No. A Global Document reaches a Client only when two things are both true: the contractor has been assigned to that Client by an admin, and that Client has requested that kind of document. There is no browsable directory of contractor documents.

What happens when the certificate expires?

It expires at every Client at once, on the same day. You are reminded before it lapses, and once you upload the renewal and it is approved the status turns back everywhere. This is the opposite of the usual failure, where a lapsed certificate stays quietly approved in the account nobody checked.

Which documents can be global?

Both company documents, such as insurances, and Worker documents, such as tickets and qualifications. Documents that are only meaningful to one Client stay local by design, because making them global would be a false claim about what they cover.

Can a Client refuse a Global Document and ask for its own copy?

Yes. A Client opts in to accepting Global Documents. Where a Client has a requirement that its own reviewer must sign off, that document is configured as a local requirement instead.

Does this cost extra?

No. Global Documents are part of how contractor accounts work. A Worker licence is AU$35 a year* and is valid with every Client on ComplyFlow, not per Client.
