WHS Software Features

WHS Software Features That Take the Admin Off Your Team.

Nine ComplyFlow features that decide whether WHS software saves time or adds to it: bulk document upload, one licence per Worker, permits approved on a phone, incidents on a record that already knows the Worker, and more.

  • Contractors
  • Safety & HSE
  • Procurement
  • IT & Security
Nine features, each with its own page and its own Help Centre trail

What These Features Do.

They take the repetitive work out of WHS and contractor compliance: a crew’s documents filed in one sitting, one certificate accepted by every Client, one licence per Worker, admin access scoped to the job, permits approved on a phone, and incidents reported against a record that already knows who was involved.

  • Less admin for contractors. Upload once, share the Worker, keep one licence. Winning a new Client does not mean starting again.
  • Less chasing for your team. Sections go to the right reviewer, permits are approved where the work is, and actions carry an owner and a date.
  • Every capability is documented. Each section below links to its full page and to the Help Centre article behind it.
  • No figure that is not published. The only prices are ComplyFlow’s own published prices, from the pricing page.

Documents & Records

  • Bulk Upload & Match Worker Documents

Drag a folder of tickets in once. Each file is matched to the Worker and the requirement it satisfies, and previewed before it is filed.

    • 5 min read
  • Global Documents

One insurance certificate approved once by ComplyFlow and accepted by every Client that opted in, with one status across all of them.

    • 5 min read
  • Sharing Workers With a New Client

Assign an existing Worker to another Client and their approved record goes with them, so a contractor does not rebuild the same crew five times.

    • 5 min read

Access & Identity

  • One Licence per Worker, Every Client

AU$35 a year per Worker*, valid with every Client on ComplyFlow. Winning a second Client costs nothing further for a Worker who already holds a licence.

    • 5 min read
  • The Restricted Admin Role

Full administrator rights over the Clients a branch manager actually serves, and no visibility of the rest of the contractor’s account.

    • 5 min read
  • One Email, Every Role

A person who holds several ComplyFlow accounts signs in with one email and switches between them, with permissions scoped to each identity.

    • 5 min read

Workflow & Reporting

  • Forms & Workflows

Branching questions, a different reviewer per section, AI review on the questions you choose, and every change logged.

    • 6 min read
  • Permits Raised & Approved on a Phone

Raise a permit in the Live Access app at the location it applies to, and let a supervisor approve or reject it from wherever they are.

    • 5 min read
  • The Incident Module

Report against a record that already holds the Worker’s employer, induction, licences, and sign-in time. Actions carry an owner and a due date.

    • 6 min read

Looking for the whole module rather than one mechanism? The Solutions pages cover prequalification, site access, permits, inspections, incidents, and the rest.

One by One

What Each Feature Does, and What It Saves.

The problem each one answers, how it works in ComplyFlow, and where to read more.

Bulk Upload: A Whole Crew’s Tickets Filed in One Sitting.

A contractor admin with 40 Workers used to open and attach every ticket one profile at a time. With bulk upload you drag the whole folder in once. ComplyFlow matches each file to the Worker and the requirement it satisfies, because it already knows which requirements each Worker is short, and shows a preview beside every match so a white card and a first aid certificate never get swapped. Expiry dates are captured while you are there. Managing Workers in the Help Centre walks through it.

  • Every file in one drop, not one upload per Worker
  • Matched against what is actually outstanding
  • Previewed before anything is filed

Global Documents: One Certificate, Accepted by Every Client.

A public liability certificate does not change depending on who asks for it, yet a contractor serving five Clients would otherwise upload it five times and wait for five reviews. A Global Document is approved once, centrally, by ComplyFlow staff and designated Global Approvers. Every Client that has opted in accepts it without a fresh upload or review, and it carries one status everywhere. It reaches a Client only when the contractor is assigned to that Client and the Client asks for it. See document types in the Help Centre.

  • One upload, one review, one status
  • Company insurances and Worker qualifications both
  • Shared only where a Client has asked for it

Worker Sharing: Win a New Client Without Rebuilding Your Crew.

Winning a new Client used to mean re-entering the same electricians, re-uploading the same tickets, and re-explaining the same expiry dates. In ComplyFlow you assign an existing Worker to the additional Client, and their profile, approved documents, and qualifications go with them. The new Client sees a maintained record, not an empty profile. Registering the company, adding Workers, and holding their documents is free. The Help Centre shows how to share Workers with new Clients.

  • The record travels, not just the name
  • Registering and holding documents is free
  • Shared only where there is a relationship

One Licence per Worker: Winning Work Does Not Cost More.

ComplyFlow charges one licence per Worker, not one per Client relationship. A licence is AU$35 a year* and covers that Worker with every Client on ComplyFlow they are assigned to, so a Worker assigned to five Clients needs one licence, not five. Every fee is on the pricing page, and registration and activation is in the Help Centre.

  • AU$35 a year per Worker*, valid with every Client
  • A sixth Client adds no sixth licence
  • One published price per Worker

Restricted Admin: Branch Managers Run Their Own Clients.

Large contractors usually choose between one overloaded head office administrator and giving regional managers the keys to the whole account. A Restricted Admin carries full administrator rights, managing Workers, plant, licences, and site access, but only for the Clients they are assigned to. The Clients they do not hold, and the Workers linked to them, are not shown to them at all. The role is set by changing a Worker’s user type, or automatically when someone registers with a matching ABN and email domain. Managing Workers as a staff member covers the rest.

  • Full admin rights, over assigned Clients only
  • Other Clients and their Workers stay out of view
  • Working the same day, with no support request

One Email, Every Role: No More Guessing Which Login.

A safety manager across four business units, or a Worker engaged by two contractors, holds several ComplyFlow accounts. Multi-identity puts all of them behind one email address, with a switch between them instead of a second password and a second login URL. Each identity keeps its own permissions, so switching never merges access, and where a Client uses Microsoft or Okta single sign-on, staff sign in with the account they already have. The organisation user setup guide explains how accounts are set up.

  • One email address for every account you hold
  • Switch without signing out
  • Each identity keeps its own permissions

Forms & Workflows: The Right Expert Reads the Right Section.

A prequalification runs across several sections, and the insurances are not judged by the person who judges the safety system. The Forms module sends each section to its own reviewer, branches on the answers so nobody answers what does not apply, runs AI review on the questions you choose, and adds document requirements when an answer calls for them. Every change to a form is logged. It runs prequalification, permits, and site forms, and the Help Centre shows how to start a form.

  • A reviewer per section
  • Branching, so nobody answers the irrelevant
  • An answer can trigger a document requirement

Permits on a Phone: Work Starts When It Should.

A permit that has to be signed in the site office waits for somebody to walk back to the site office. In ComplyFlow a Worker selects the location, fills in the permit, and submits it from site, in the Live Access app or on the desktop; it is one record, not a phone version and a real one. The supervisor reviews the detail, adds comments, and approves or rejects it on their phone, and the decision is logged either way. The Help Centre has permit workflow examples.

  • Raised and approved on desktop or phone
  • What a permit asks can differ by site
  • Every decision logged against the permit

The Incident Module: No Investigation Starts From Zero.

An incident form that starts blank has to ask who the person was. The ComplyFlow incident module records incidents, near misses, hazards, and injuries against the record that already holds the Worker’s employer, induction, licences, and sign-in time. Potentially notifiable incidents are flagged on submission, and their records are visible only to the security group you name until it is unrestricted. That restriction is on the record, not on your notice to the regulator: you must still notify the regulator immediately, and ComplyFlow does not lodge the notice. Every corrective action carries an owner, a due date, and a status. The Help Centre covers adding an incident.

  • The same process for staff and contractors
  • Notifiable incidents contained on submission
  • Actions owned and dated, or the incident stays open

Questions

Questions About WHS Software Features.

What is WHS software?

Work health and safety software keeps the records a business needs to manage safety: who is on site and whether they are cleared, the documents and licences they hold, permits, inspections, incidents, and the actions that follow. ComplyFlow is Contractor Management Software that keeps those records for your own staff and for every contractor and Supplier who works for you, on one record.

What features should WHS software have?

At minimum: incident reporting, risk and hazard management, inspections, permits, training, and document control, with a record of who did what. Where contractors do much of the work, add prequalification, site access, and contractor document management. Our guide to the features to look for in WHS software covers how to judge them.

Is ComplyFlow WHS software or contractor management software?

ComplyFlow is Contractor Management Software. It also runs the WHS processes that contractors touch, including incidents, inspections, permits, risk, and training, on the same record, which is why these nine features sit across both.

What is on these pages that is not on the Solutions pages?

The Solutions pages describe a module: prequalification, site access, incidents. These pages describe the specific mechanisms inside them that decide whether the system is workable day to day, such as how a contractor uploads 120 tickets, what a licence actually costs when you win a fifth Client, and who can administer which part of an account.

Are these features included, or extras?

They are part of how ComplyFlow works, and every capability links to the Help Centre article that documents it. The one to check is AI review on forms: AI usage has been included in Enterprise plans since 24 March 2026, and on other plans, ask us. Where a price applies, such as the AU$35 a year* Worker licence or the AU$100 a year AI-reviewed prequalification, it is published on the pricing page.

Is there a charge for contractors to use these?

Registering a contracting business, adding Workers, and holding their documents is free. A Worker licence is AU$35 a year* and is valid with every Client on ComplyFlow the Worker is assigned to, not once per Client relationship.

Where do I start if I am a contractor and a Client has asked me to register?

Start with sharing Workers and Global Documents. Between them they cover the two things that decide how much work being on ComplyFlow actually costs you: whether you rebuild your crew for each Client, and whether you upload the same insurance certificate five times. ComplyFlow for contractors has the whole picture.
