Does it cover our WHS management plan and SWMS coordination, or just store documents?
It holds the WHS management plan and every SWMS coordinated under it: what is required, what has been uploaded, what has been reviewed, and what is still outstanding, all against your own standard. Where you turn it on, AI reads each SWMS first and flags what is missing; your HSE manager makes the call.
Are subcontractors workers under WHS law?
Yes. Under section 7 of the model WHS Act, a worker includes a contractor or subcontractor and their employees. So the business that engages them owes them its section 19 primary duty, while they work in its business, to ensure their health and safety so far as is reasonably practicable. It cannot transfer that duty. Where this applies: each state and territory’s WHS Act, based on the model Act, everywhere except Victoria, including Western Australia and the Northern Territory. In Victoria, section 21(3) of the OHS Act 2004 extends an employer’s duties to contractors and their employees, for matters it controls or would control but for an agreement.
What does a principal contractor have to do under WHS law?
A principal contractor must prepare a written WHS management plan before work starts, take all reasonable steps to get a copy of each SWMS before high-risk construction work begins, put up signs showing its name, phone numbers including after hours, and any site office, and manage the risks of materials and waste, idle plant, traffic, and essential services. Where this applies: model WHS Regulations rr 292 to 315 as each jurisdiction enacted them, outside Victoria. The model threshold is AU$250,000; the NT’s is AU$1,000,000, and WA’s is 5 or more people working at once, with no signage rule. Victoria: AU$350,000 (reg 332) and a health and safety co-ordination plan (reg 335).
Is a subcontractor’s white card, licence, and insurance checked before they are let onto site?
Yes. The record is checked at the gate, not after the fact: an expired white card, high-risk work licence, or certificate of currency blocks sign-in until it is renewed.
Does AI review check a SWMS against our standard, or just confirm it was uploaded?
It reads the document against the requirements you set for that category of high-risk construction work and flags what is missing, with the reasons shown. Your HSE manager reviews the flag and makes the final call; ComplyFlow does not approve anything on its own.
Can we see who is on site right now, for an evacuation roll call?
Yes. Every sign-in, whether it is your own crew, a subcontractor, or their own subcontractor, appears on one live list for that site, usable as the roll call the moment an evacuation is called.
Does it connect to Procore, Aconex, or Jobpac, so our site teams do not enter things twice?
It connects through an open API, so the project record and the compliance record can agree without double entry. Progress-claim tools such as Payapps and job-costing systems such as Jobpac Connect are common connections for this sector.
Can requirements differ by project and by state?
Yes. Requirements sit at the company level with extras per project, so a Victorian site can ask for its own nineteenth category of high-risk work while a project in another state runs the model eighteen.
Does a subcontractor register once and have that count on every project we run?
A subcontractor registers and uploads their documents once. Every head contractor they work with on ComplyFlow measures those same documents against its own requirements, so the subcontractor is not filling in the same form for every project.
Is our data held in Australia, and what is the security certification?
Yes. ComplyFlow runs on AWS in Australia and is ISO 27001 certified. Your people log in with Microsoft or Okta single sign-on, so there are no new passwords to manage.
