Best Visitor Management System for Australian Workplaces (2026)

The best visitor management system in Australia does more than replace the sign-in book: it checks a contractor before they are let in, turns the live list into an evacuation roll call, and says where its data is held. We read 13 platforms' own sites on 20 October 2026. ComplyFlow, our own product, and Sine meet all five tests; HealthSafe, Rapid Global, Teamgo, and Visitor Sign-In meet four.

A gatehouse officer checks a refrigeration technician's sign-in on a tablet at the gate of a distribution centre in the early morning
At a depot gate, most people signing in are contractors and drivers, not guests.

At an office tower, a shopping centre, or a distribution centre, most of the people who sign in are not guests. They are the lift technician, the cleaner, the fire services contractor, the refrigeration mechanic, and the carrier's driver waiting for a dock. A visitor management system that treats all of them like a guest at reception will print a nice badge and miss the check that matters. This guide compares 13 visitor management systems sold in Australia, judged on the job a facilities manager or a depot operations manager actually has: know who is on site, stop a contractor who is not cleared, and account for everyone when the alarm goes.

Every capability below was read off each vendor's own pages. ComplyFlow is our own product. It is scored on the same five tests as every other platform, and only on what its Help Centre, pricing, and industry pages say.

What Is a Visitor Management System, and How Does It Work?

A visitor management system replaces the paper sign-in book with a digital register of who is on site right now. A person signs in by scanning a QR code with their own phone, typing at a tablet kiosk, or being pre-registered by their host, and the system records the time, notifies the host, and keeps them on a live list until they sign out. The better systems also put something in front of the person before they are let in: a site induction, a safety declaration, or a check of their documents.

Two jobs hide inside that one product, and the ranking pages for this search mostly describe the first. The front-of-house job is the guest: a meeting, a badge, a host who is told their visitor has arrived. The site job is the worker who is not your employee: the trade who needs a current induction and licence before they go on the roof, and who has to be on the evacuation list while they are up there. Many systems built for the office lobby do the first well and say little about the second. If you run buildings, docks, or depots, the second is the one that carries the risk. Our guide to moving from a paper sign-in book to digital visitor management covers the switch-over itself, and our visitor management page sets out how one system can do both jobs.

This guide is one of four we published together. If the gate is one step in a longer contractor process, our lists of online induction software, subcontractor management software, and contractor compliance software score the steps before it.

Why a Contractor Is Not Just Another Visitor.

Under the model WHS laws, which every jurisdiction except Victoria has adopted with some local variations, a worker includes a contractor or subcontractor and an employee of a contractor or subcontractor.1 2 A business must ensure, so far as is reasonably practicable, the health and safety of workers it engages or causes to be engaged, and of workers whose activities it influences or directs, while they are at work in the business or undertaking.1 The model WHS Regulations also require a business at a workplace to ensure that an emergency plan is prepared, and Safe Work Australia's guidance says the plan should be tailored to the people at the workplace, including contractors and visitors.3 4

Victoria has its own Occupational Health and Safety Act 2004, and WorkSafe Victoria says a person who manages or controls a workplace must ensure, so far as is reasonably practicable, that it is safe and without risks to health, including the way in and out, for the matters it manages or controls, and that this person can include the building owner and the property manager.5 In practice, that turns a sign-in register into two things a regulator or an investigator may ask about: whether the person was cleared for the work before they started, and whether you could account for them in an emergency. A visitor management system that cannot answer both is a guest book with a screen.

How We Chose and Ordered These Thirteen.

We started from what Google returns in Australia for "visitor management system australia" on 20 October 2026, including the five platforms its AI answer named, added the five platforms ChatGPT named for the same question that day, and checked the vendors on the three ranking lists. A platform is in when three things hold on its own pages:

  • It is sold in Australia: an Australian office or address, an Australian business number, prices in Australian dollars, or Australian customers named.
  • Its own pages describe visitor sign-in that keeps a live record of who is on site.
  • It is a workplace product, not one built only for schools, events, hospitality bookings, or a single sector such as aged care.

Each platform is then scored against five tests, and a test is a Yes only when the vendor's own pages say so:

  1. Checks a contractor at sign-in, against an induction, licence, insurance, or other requirement, before they are let in.
  2. Turns the live list into an evacuation roll call or emergency headcount.
  3. Says that its data is hosted in Australia.
  4. Names a connection to a building access control system, such as turnstiles, door controllers, or key cabinets.
  5. Prints a price, or offers a free plan or a free trial.

The entries run in order of tests met, most tests met first, with ties in alphabetical order. The order is computed from the table, not chosen. It is a tally of what each vendor's pages say, not a verdict: we wrote the tests, and we make one of the products, so read the order as a starting point and each "Best for" line as the advice.

Every description below was read off each vendor's own pages on 20 October 2026, and the scores come from the same captures, kept with their screenshots. No vendor's own statistics are repeated, and no competitor's price is quoted as a figure. Where a cell says No, it means we did not find the capability on the pages we read, not that the product cannot do it; ask in the demo.

The Thirteen, in Order of Tests Met.

ComplyFlow.

Best for: a property portfolio, FM company, or depot network that wants visitors and contractors on one live list, with the contractor's induction checked before they sign in.

ComplyFlow is Contractor Management Software, and this is our own product. Each sign-in point has its own QR code and geofence, and if a person's assigned induction is missing or expired, they complete it before signing in; sign-ins go into a Sign In Book that gives the site a live register of who is on site.6 Its property and FM page describes a live list for evacuations and roll calls, and access control and key management systems such as KeyWatcher, Unicard, and Torus connected through its API.7 All ComplyFlow data is hosted in Australia.8 Clients start on a free Starter plan and pay as they add people and sites.9 A Worker licence is priced per Worker per year and covers that Worker with every client on ComplyFlow.10 See how it works for property and facilities management and for visitor sign-in.

Where it is not the answer. It is not a front-desk badge printer or a desk and meeting room booking tool. If the main job is a corporate lobby with hosted guests and printed badges, the office-first platforms lower down this list are built around that.

Sine, by Honeywell.

Best for: a business with many buildings that wants a mature visitor and contractor platform with deep access control links.

Sine began as an Australian startup and is now part of Honeywell, with an office in Australia and one in the United States.11 Its contractor pages describe automated inductions, compliance configured at check-in, and digital roll call, with a free trial offered.12 Its security page says all of its infrastructure currently resides in an Australian region of Amazon Web Services.13 Its integrations page lists Gallagher and Inner Range among the systems it connects to.14

HealthSafe.

Best for: a smaller multi-site business that wants contractor checks at the door and a published starting price.

HealthSafe says it is based in Australia and New Zealand.15 Its contractor management page says it verifies the contractor business's requirements, such as insurance and contracts, and each worker's qualifications the moment they sign in, and that it integrates with your access control provider.16 Its home page describes instant headcounts and two-way alerts in an emergency.17 Its visitor management page prints a starting price per site, billed annually.18 We did not find a statement of where its data is hosted on the pages we read.

Rapid Global.

Best for: an FM business that already runs contractor management and inductions and wants sign-in to enforce them.

Rapid Global's facilities management page says contractors complete the building's induction online before arriving, and that Rapid Access blocks entry at check-in if that induction or their documents are not current, with a fully accounted-for evacuation from any location.19 Its security page says customers can store their data in Australia or Ireland.20 It has a published integration with Gallagher's Command Centre.21 Its pages show no price, free plan, or free trial.

Teamgo.

Best for: a business that wants contractor checks and evacuation tools in a visitor-first product, hosted in Australia.

Teamgo describes itself as an Australian technology company, with an Australian office number on its contact page.22 Its FAQ says you can add approval steps, compliance checks, access rules, and blocklists to restrict who enters a site.23 Its about page names contractor document collection, emergency alerts, and evacuation tools, and cloud hosting on Amazon Web Services in Australia, with a free trial.24

Visitor Sign-In.

Best for: a depot, warehouse, or retail site that wants a simple Australian sign-in with induction checks before access.

Visitor Sign-In is an Australian product written for logistics, transport, retail, education, construction, and hospitality sites.25 Its home page says it ensures inductions are completed and helps you confirm compliance before work begins or before access is granted, and it offers a free trial.25 Its features page describes evacuation management to account for everyone on site, and says visitor data is stored on Australian servers.26

Ezy Sign-In.

Best for: a warehouse or manufacturing site that wants inductions enforced at sign-in and a long free trial.

Ezy Sign-In gives an Australian street address and says it is used across Australia and the United States.27 Its home page says it enforces contractor inductions and site safety compliance at sign-in, and offers a free trial.27 Its pricing page lists a roll call display for an instant on-site count in an evacuation.28

Sign In App.

Best for: an organisation with offices and sites in several countries that wants evacuation reporting and access control links in one product.

Sign In App prints its plans in Australian dollars on its pricing page.29 Its evacuation page describes accurate roll calls across buildings, and its integrations page names access control integration and connections to ISN and Avetta to validate contractors.3031 That contractor check runs through the other system, so ask how it behaves at the kiosk if the contractor's record there has lapsed. It offers a free trial.32

Time & People.

Best for: a site with turnstiles or boom gates that wants visitor and contractor records tied to the hardware.

Time & People sells visitor, contractor, and emergency management across Australia and the United States, with an Australian 1300 number.33 Its visitor page describes sign-in workflows for a person who does not meet your on-site requirements, and sign-in on arrival to keep the evacuation list accurate.34 Its contractor page says it integrates with turnstiles, boom gates, and access points.35 Its pages show no price.

HybridHero.

Best for: a corporate office that wants visitor management inside a desk, room, and parking booking platform.

HybridHero is an Australian business, and its pricing is quote-based.3637 Its visitor management page describes routing contractors through induction flows and certification capture, gives the example of a facilities contractor completing a site induction and PPE check before receiving access, and includes visitors in emergency messages.38 Its integrations page says it can connect to access control and other systems through REST APIs.39

VisitUs.

Best for: an office or small site that wants a free plan to start with.

VisitUs describes itself as a visitor management system designed for Australian organisations, operated by an Australian company.40 Its home page describes a real-time evacuation roll call and a free plan that does not expire.40 Its integrations page describes pre-registration in which visitors and contractors complete your site induction before arriving, and single sign-on for staff rather than a building access control link.41

LinkSafe, by Civica.

Best for: an FM company that wants contractor management first, with sign-in that checks licences and inductions.

LinkSafe is now owned by Civica. Its site management page says workers sign in by QR code or kiosk and that it validates licences, inductions, and other site requirements before granting access.42 It is a contractor management platform with visitor management as one module, so it scores low here on visitor-specific tests rather than on contractor control; see its entry on our contractor management software list.

MRI Software.

Best for: a property owner already running MRI's real estate software.

MRI Software has served Australia and New Zealand since 1995 and owns Rockend.43 Its visitor management system page describes controlling where visitors can go in the workplace and offers a free trial.44 We did not find contractor checks, an evacuation list, or Australian hosting on the pages we read.

Who Is Not on This List.

Envoy is left out because the pages of its own site captured on 20 October 2026 showed no Australian office, Australian price, or Australian customer. LoopSafe is left out because the page that ranks is built for aged care facilities only. The free-plan directory that ranks for this search is mostly school, church, booking, and queueing tools, none of which meets the workplace rule.

Worked Example: The Loading Dock at 6am.

A national transport and logistics business runs a distribution centre on the edge of a capital city. At 6am a refrigeration contractor arrives to repair a coolroom compressor while the night shift is still loading. Under the old sign-in book, the gatehouse officer wrote down a name and a company. Nobody checked whether the technician's induction for this site had expired in August, or whether the business had current public liability cover. When the fire alarm tested at 7.15am, the warden's list was the book, and the technician had not signed out from a visit the week before, so the list was wrong in two directions.

The DC's safety lead set three rules for the replacement system. First, a contractor whose site induction has expired completes it on their phone before the gate opens. Second, the list the warden uses is the live list, on a phone, not the book. Third, a visitor who is a guest is never asked for a licence. Run those three rules against the table above. A system that scores No on the first test can still record the technician's arrival, but it will not stop him. A system that scores No on the second leaves the warden with a printout. The facilities manager at a shopping centre has the same problem at the service corridor, with tenant fit-out crews in place of refrigeration mechanics.

How Much Does a Visitor Management System Cost?

Most of these vendors do not print a full price, and the ones that do price in different units: per site, per location, per month, or per year. Of the competitors, HealthSafe and Sign In App print prices, VisitUs offers a free plan, and Ezy Sign-In, MRI Software, Sine, Teamgo, and Visitor Sign-In offer free trials; our own prices are on our pricing page. For the rest, ask for the price per site including GST, what the kiosk hardware costs, and whether contractor checks are a separate module, because that is where quotes for the same headcount drift apart.

How to Choose, in One Demo.

Ask each vendor to show you the same four things live, on a phone, with a contractor record you have set to expired.

  1. The contractor scans the QR code at the dock. What stops them, and what do they see?
  2. The fire alarm goes. Where is the roll call, and does it include the visitor who signed in at reception and the contractor at the dock?
  3. Where is the data held, and who can see a visitor's details after they leave?
  4. If you have turnstiles or a key cabinet, which system does it connect to today, and who supports the connection?

Write down what you saw against each of the five tests. If a vendor's answer differs from its own pages, believe the demo and note the date.

Questions

Questions People Ask About This.

Which visitor management system is best for a shopping centre or office building in Australia?

Pick by who signs in. If most people are contractors, choose a system that checks their induction and documents at sign-in and puts them on the evacuation list: ComplyFlow, Ezy Sign-In, HealthSafe, Rapid Global, Sine, Teamgo, Time & People, and Visitor Sign-In all say they do, on pages read 20 October 2026. If most are hosted guests at a corporate reception, an office-first product such as HybridHero or Sign In App fits the front desk better.

Is there a free visitor sign-in app in Australia?

Yes. ComplyFlow has a free Starter plan, and VisitUs offers a permanent free plan. Ezy Sign-In, MRI Software, Sine, Teamgo, Sign In App, and Visitor Sign-In offer free trials rather than a free plan, as at 20 October 2026. Check what each free tier leaves out, usually contractor checks, multiple sites, or the evacuation list.

Does a visitor management system need to store data in Australia?

It depends on your contracts and your privacy policy. On their own pages, ComplyFlow, Sine, Teamgo, and Visitor Sign-In say their data is hosted in Australia, and Rapid Global offers Australia or Ireland. Ask the others to confirm in writing where your visitors' details will be held.

Can a visitor management system stop a contractor with an expired induction?

Some can. ComplyFlow asks the person to complete a missing or expired induction before signing in, Rapid Global says Rapid Access blocks entry at check-in if the induction or documents are not current, and LinkSafe says it validates licences and inductions before granting access. Others record the arrival but do not stop it, so test it in the demo.

Can the sign-in list be our evacuation roll call?

Yes, if everyone on site signs in to it, contractors and visitors included, and the warden can open it on a phone when the alarm goes. On pages read 20 October 2026, ComplyFlow, Ezy Sign-In, HealthSafe, Rapid Global, Sign In App, Sine, Teamgo, Time & People, Visitor Sign-In, and VisitUs describe an evacuation list, roll call, or emergency headcount. Test it in a drill before you rely on it.

What should I ask in a visitor management system demo?

Ask the vendor to sign in a contractor whose record you have set to expired, then trigger an evacuation and show you the roll call on a phone. Ask where the data is held, what the kiosk hardware costs, and which access control systems it connects to today.
