Best Subcontractor Management Software, Tested on Australian Sites (2026)
The best subcontractor management software in Australia lets a head contractor or FM provider see each subcontractor worker's own tickets, who is on which site, what work they were sent to do, and whether their SWMS was approved. We read 12 platforms' own sites in October 2026. ComplyFlow, our own product, meets all five tests; BuildPass, Rapid Global, and SiteConnect meet four.
A facilities management provider that holds a maintenance contract for a portfolio of buildings rarely does the work with its own people. It sends an electrical subcontractor to the switchboard, a mechanical subcontractor to the chiller, and a cleaning subcontractor to every floor, and each of those firms sends whichever workers it has that day. The client holds the FM provider responsible for all of them. This guide compares 12 subcontractor management platforms sold in Australia for the head contractor's operations and facilities teams in that position: the one who has to know that each subcontractor's company is insured, that each of its workers holds the right ticket, which of them is on which site, and what work they were sent to do.
One disclosure before the list: ComplyFlow is our product. It sits in the same table under the same five tests, scored only from its Help Centre, pricing, and industry pages.
What Is Subcontractor Management Software, and Who Is It For?
Subcontractor management software is the system a head contractor or FM provider uses to engage, check, and control the firms it subcontracts work to. It holds each subcontractor company's insurance, licences, and safety documents with their expiry dates, holds each of that company's workers with their own tickets and inductions, signs those workers in and out of sites, and links them to the job they are there to do. Done well, it answers one question at the door of any building: is this person, from this company, cleared for this job today?
It is not the subcontractor's own job management app, which runs their quotes, rosters, and invoices. It is not a construction project platform that manages drawings, variations, and progress claims, or a payment-claim tool, though some of the platforms below came from that world. And it is not a different product from contractor management software so much as the same product judged on its hardest case: the worker you never employed, sent by a firm you did not choose for this job. Our contractor management software list compares the wider field; if you are the subcontractor answering a client's system, read contractor management software for suppliers or subcontractors instead.
If one part of the job matters most, three companion lists go deeper: visitor management systems for the door, online induction software for what each worker is told before they arrive, and contractor compliance software for checking each company's documents.
Why the Head Contractor Owns the Subcontractor's Worker.
Under the model WHS laws, which every jurisdiction except Victoria has adopted with some local variations, a worker includes a subcontractor and an employee of a subcontractor.1 2 A business must ensure, so far as is reasonably practicable, the health and safety of workers it engages or causes to be engaged, and of workers whose activities it influences or directs, while the workers are at work in the business or undertaking.1 Where several businesses share a duty over the same work, as a building owner, an FM provider, and its subcontractors often do, each must, so far as is reasonably practicable, consult, cooperate, and coordinate with the others.1 Safe Work Australia's fact sheet on contractual chains says these duties cannot be contracted out to a subcontractor.3
Victoria has its own Occupational Health and Safety Act 2004, and WorkSafe Victoria says whoever manages or controls a workplace must ensure, so far as is reasonably practicable, that it is safe and without risks to health, for the matters it manages or controls, and that this can include a building's owner and its property manager.4 So the head contractor's system has to reach past the subcontractor company to the person on the roof.
How We Chose and Ordered These Twelve.
We started from what Google returns in Australia for "subcontractor management software" and its Australian variants on 20 October 2026, added the vendors ChatGPT named for the same question that day, and added the vendors on our own contractor management list. A platform is in when four things hold on its own pages:
- It is sold in Australia.
- It onboards or prequalifies the subcontractor company, with its documents tracked to expiry.
- It holds the subcontractor's individual workers, with their own licences, tickets, or certifications.
- It knows which of those workers is on which site or job, through sign-in, site access, or allocating them to work.
Five tests follow, each answered Yes only on the strength of the vendor's own pages:
- Holds each subcontractor worker's own licences or tickets and tracks their expiry.
- Shows who is on which site, with sign-in or access checked against that worker's compliance.
- Issues or links work to the subcontractor: work orders, jobs, subcontracts, or allocations tied to its record, directly or through a maintenance system.
- Reviews or approves the subcontractor's safe work method statement before work starts.
- Prints a price, or offers a free plan or a free trial.
The list runs from most tests met to fewest, most tests met first, and alphabetical where two platforms tie; the order is calculated from the table rather than chosen by us. It counts claims, not quality. We set the tests and we sell one of the products, so the "Best for" line under each name is where the judgement is.
We read every vendor's pages between 20 October and 22 October 2026, and the descriptions and scores below come from those captures, each kept with a screenshot. Vendors' own statistics are left out, and competitor prices are never shown as figures. A No records that the claim was absent from the pages we captured, which makes it a question for the demo rather than a finding about the product.

The Twelve, in Order of Tests Met.
ComplyFlow.
Best for: an FM provider or property head contractor that wants the subcontractor company, its workers, the sign-in, and the work order on one record.
This is our product, and it is Contractor Management Software. Each worker's documents are uploaded with an expiry date, and requirements can be set per site, such as a high risk work licence for one building.56 At a sign-in point, a person whose assigned induction is missing or expired completes it before signing in.7 Work orders from a connected maintenance system are matched to subcontractors by ABN and to sites by code.8 Its property and FM page describes the SWMS behind a permit being read against your standard and approved by your authoriser.9 Clients start on a free Starter plan and pay as they add people and sites.10 Workers are licensed individually at a published yearly price, and one licence covers a Worker across every client on ComplyFlow.11 See contractor management and the setup for property and facilities management.
Where it is not the answer. It does not run the subcontract itself: quotes, schedules of values, and progress claims stay in your finance or project system.
BuildPass.
Best for: a builder or head contractor on construction projects that wants subcontracts, tickets, and SWMS in one product.
BuildPass says teams across Australia and New Zealand run projects on it, and its pages are written for construction sites.12 Its induction page captures tickets and SWMS during the induction with reminders of expiry dates, and its SWMS page describes approval by the site manager before work starts.1314 Its sign-on page gives a real-time view of workers signed on.15 Its subcontracts page describes turning a won quote into a signed subcontract.12 Its pricing page lists plans and explains why it does not publish prices.16
Rapid Global.
Best for: an FM provider whose maintenance system is FMClarity, or that wants entry denied automatically at every building.
Rapid Global's facilities management page says trades each carry their own insurances, licences, and inductions to keep current, and that entry is denied automatically if induction or compliance requirements are not met.17 Its FMClarity integration page says work orders in FMClarity can only be created for suppliers that have cleared Rapid's checks.18 Its knowledge centre describes RapidCheck reading a submitted SWMS and checking it against your checklist.19 Its pages show no price, free plan, or free trial.
SiteConnect.
Best for: a property manager or FM team that wants prequalification and sign-in for its approved trades, with a free trial.
SiteConnect says it is built for Australia, and its page for subcontractors describes holding insurance certificates, safety plans, and every worker's licences and tickets, with reminders before something lapses.20 Its property management page describes blocked sign-in when a prequalification or induction has lapsed, and a prequalification that collects insurances, licences, policies, and SWMS against every company on your approved list.21 It offers a 14-day free trial.22
HammerTech.
Best for: a construction head contractor that wants worker records and SWMS review on large projects.
HammerTech lists a Melbourne office.23 Its worker information page describes alerts when worker training is due for renewal, and its personnel management page describes knowing every worker's status and authorisations on site.2425 Its SWMS page describes requiring reviewers to sign a SWMS digitally before work begins.23
LinkSafe, by Civica.
Best for: an FM provider with many client sites that wants credential reminders sent to the workers themselves.
LinkSafe is now owned by Civica. Its credential management page says automated reminders notify workers before their credentials expire.26 Its home page describes automated sign-in with compliance verification across sites.27 Its facility management page describes bringing in asset and work order data through the LinkSafe API.28
Humanz.
Best for: a business that rosters subcontractors alongside its own staff and wants compliance checked when it books them onto a job.
Humanz is built and supported in Australia, from West Perth.29 Its subcontractor page describes booking a subcontractor onto a job the way you would an employee, with their compliance profile checked automatically.30 Its article on credentials tracking describes recording licences, tickets, and inductions with expiry dates as a worker joins.31 Site sign-in was not on the pages we captured.
Ideagen Workforce Safety.
Best for: a larger organisation that wants contractor and workforce management inside a wider EHS suite.
Ideagen's contractor and workforce management page, shown for Australia, New Zealand, Singapore, and the Philippines, describes verifying credentials before workers reach site, staying ahead of expiring certifications, and real-time visibility of who is on site and whether they are authorised to be there.32
Quartex.
Best for: a business with remote or high-risk sites that wants site access tied to qualifications.
Quartex lists a Perth office.33 Its site access page describes tracking, reviewing, and verifying qualification and ticket documents, and knowing who is on site and whether they are licensed to be there.34
Avetta.
Best for: a large organisation that wants a global supplier network and worker QR access.
Avetta's worker management page describes verifying worker qualifications and granting site access by scannable QR code.35 We found worker certifications on its pages but expiry tracking stated only for insurance.
Beakon.
Best for: a Sydney business that wants contractor management with permits and a free trial.
Beakon is based in Sydney.36 Its contractor management page offers a free trial, and it issues permits to work for high-risk jobs, which this list does not score.3738 We did not find a worker licence expiry or a sign-in compliance check on the pages we read.
Conserve.
Best for: a local council that wants contractor compliance run as a managed service.
Conserve says it has worked with Australian councils for over 14 years.39 Its Site Access App lets you choose whether to approve people before granting site access and shows who is on site at any time.40
Who Is Not on This List.
Cm3 is left out because we did not find each worker's own licences on its pages; it checks the subcontractor company. Mitti, formerly SafetyCulture, is left out because its site access appears only as a question heading on the pages we read. Procore and Payapps are left out because they manage subcontracts and progress claims rather than the subcontractor's workers. Varicon is left out because it runs civil job costing, dockets, and timesheets. FMClarity is left out because it is a maintenance system that connects to contractor management platforms rather than one itself. Kynection is left out because the worker-level checks and QR sign-in it describes appear in its buyer's guide as advice, not on its product pages. Sine is left out because its credentials are held for the contractor business, and we did not find each worker's own licences on its pages. MyPass Global is left out because it holds worker credentials and relies on other vendors' access systems for site sign-in. WHS Monitor is left out because its pages describe keeping documents up to date without naming expiry tracking. HSI Donesafe is left out because licences are captured when a contractor self-registers, and we did not find them held for each worker. MiSAFE Solutions is left out because it names worker-level licences only in a risk statement. Forsite is left out because we did not find workers' own licences on its pages. AroFlo is left out because it manages jobs for the buyer's own technicians rather than a subcontractor's workers. Buildlogic is left out because it handles contract administration and claims.
Worked Example: The Chiller at a Shopping Centre.
An FM provider maintains a regional shopping centre for a property trust. The centre's chiller fails on a Saturday in January. The FM provider raises a work order to its mechanical subcontractor, which sends two technicians: one it has used for years, and one who started on Monday. The new technician's refrigerant handling licence is current, but the subcontractor never uploaded it, and his site induction for this centre has not been done.
Here is what each test catches. Test 1 means the FM provider can see the new technician has no licence on record, before he climbs onto the plant deck. Test 2 means the service door either stops him or holds him until the induction is done. Test 3 means the work order he was sent on is tied to a subcontractor whose company insurance is current. Test 4 means the SWMS for working on live refrigeration plant was approved before Saturday. A system that scores No on any of them leaves that check to a person on the phone on a Saturday, which is when it fails.
What Does Subcontractor Management Software Cost?
On the pages we read, ComplyFlow prints its prices and has a free Starter plan, and Beakon and SiteConnect offer free trials. BuildPass and Humanz explain on their pricing pages why they do not publish a price list, and we found no price for the rest on the pages we read. Our prices are published in Australian dollars at complyflow.com/pricing. Ask every vendor two questions that change the answer for an FM provider: does each subcontractor worker count as a paid user, and does the subcontractor pay anything to register? A model where subcontractors pay can look cheap to you and push your best trades towards clients who do not charge them.
How to Choose, in One Demo.
Ask each vendor to show you the same chain, live, with a subcontractor you have set up.
- Add a worker to the subcontractor with a licence that expired yesterday. Where does it show, and who is told?
- Send that worker to sign in at one of your sites. What happens at the door?
- Raise a job or work order to the subcontractor. Does the system know the company's insurance is current?
- Upload a SWMS for the job. Who approves it, and where is the approval recorded?
Mark each of the five tests as you go. Where the live product and the website disagree, go with what you saw, and write the date beside it.

Questions
Questions People Ask About This.
What is the best subcontractor management software for facilities management in Australia?
For an FM provider, look for a platform that holds each subcontractor worker's tickets, checks them at sign-in, and ties the work order to a subcontractor that has cleared its checks. On pages read in October 2026, ComplyFlow meets all five tests in this guide, and Rapid Global and SiteConnect meet four. BuildPass also meets four but is written for construction projects.
Do I need subcontractor management software if I already manage contractors?
Mostly the reader. Contractor management software checks any business you engage; subcontractor management is the same job for a head contractor or FM provider who subcontracts its own contract, where the hard part is the subcontractor's individual workers and the work issued to them.
Is there free subcontractor management software?
You can start for nothing: Beakon and SiteConnect, two of the 12, offer free trials, and ComplyFlow has a free Starter plan, as at October 2026. Several platforms are free for the subcontractor to register and charge the head contractor; ask who pays before you compare prices.
Should subcontractors pay to be on our system?
That is a choice the vendor makes, so ask. Some platforms charge the subcontractor a registration or worker fee; others charge only the client. On ComplyFlow each Worker holds one licence at a published yearly price, and it covers the Worker with every client on the platform. Whichever model you choose, tell your trades early what they will be asked for and what they get for it.
What documents should we hold for each subcontractor?
At the company level, public liability and workers compensation certificates of currency, any trade or contractor licence, and the safety documents your work needs. At the worker level, each person's own licences and tickets, such as a high risk work licence, and their inductions. Our guide to subcontractor documents and insurance requirements sets out each one and when it expires.
