Forms & Workflows

A Form That Routes Itself and Remembers Everything.

A prequalification runs 20 to 50 questions across sections, and the insurances are not judged by the person who judges the safety system. The Forms module branches on the answers, sends each section to its own reviewer, and logs every change.

What the Forms Module Does.

The ComplyFlow Forms module builds the questionnaires the platform runs on, including prequalifications and permits. A form carries sections with their own reviewers, branching logic, AI review on chosen questions, and the power to trigger document requirements, and every change made to it is logged.

  • Sections go to different people. Procurement reads the insurances while WHS is still asking about the safety system, and the form stays under review until every section clears.
  • Branching, so nobody answers the irrelevant. A supplier who does no high-risk work is not asked 14 questions about confined spaces.
  • An answer can trigger a requirement. Say you work at heights and the form adds the documents and the contractor category that go with it.
  • It came out of permits and went everywhere. Built first for permits to work, now running prequalification, site forms, and whatever else you need a logged workflow for.

How It Works

Three Screens Behind Every Questionnaire in ComplyFlow.

The same module runs a prequalification, a permit, and a site form.

Build It Once, With the Logic In It.

Sections, question types, branching, and the reviewer each section goes to. Write the guidance at the question so the respondent knows what good looks like before they attach the wrong thing. A prequalification runs 20 to 50 questions and a supplier should only meet the ones that apply to them.

  • Sections with their own reviewers
  • Branching on the answers given
  • Guidance shown at the question

Each Section Lands on the Right Desk.

Procurement approves the insurances while WHS is still asking for the safety system’s external audit and legal reads modern slavery. Ask for more on one question and the respondent sees exactly what to fix. The form reads under review until every section clears.

  • Approve, hold, cancel, or request more
  • Action required, or feedback only
  • One question returned, not the whole form

AI Reads It First, and a Person Still Signs It.

Put an AI agent on the questions where the answer is usually thin. It reads the answer or the attached file against the criteria you set and gives the respondent feedback while the form is still open, so what reaches your reviewers is the second draft rather than the first. Your people still approve every section.

  • Per question, against your criteria
  • Feedback before submission, not after
  • The AI never approves anything

Questions

Questions About Forms & Workflows.

What is the Forms module used for?

Any workflow in ComplyFlow that is a questionnaire with a decision at the end. It started as the engine behind permits to work and now runs prequalification screening of suppliers, which typically runs 20 to 50 questions, along with site forms and one-off processes businesses build for themselves.

Can different people approve different sections?

Yes, and it is the main reason the module exists. Each section carries its own reviewer and its own status, so procurement can approve the insurances while WHS is still asking about the safety system. The form reads under review until every section has cleared.

Can I ask for more information without rejecting the whole thing?

Yes. Request more information on a single question, marked as action required or as feedback only. The respondent sees exactly which answer to fix rather than resubmitting everything.

What does the AI do on a form?

On the questions you choose, an AI agent reads the answer or the attached file against criteria you set and gives the respondent feedback while the form is still open. It flags what is missing. It does not approve anything; your reviewers approve every section.

Can an answer trigger a document requirement?

Yes. An answer can trigger document requirements and contractor categories, and a category brings its own inductions and documents with it. That is how a form turns a declaration into an obligation without anybody having to remember.

Is there a record of changes?

Every modification is logged against the form, with the feedback trail. Completed forms can be exported, and form data by form type is available through the REST API for your own reporting.
