Worker Documents

Drop the Whole Folder In. ComplyFlow Files It.

A contractor admin with 40 Workers has a folder of tickets, licences, and certificates and 40 profiles to attach them to. Drag the folder in once. Each file is matched to the Worker and the requirement it belongs to, and you confirm the matches on one screen.

  • Contractor Admins
  • Labour Hire
  • Facilities
  • Subcontractors
Drag-and-drop, matched on upload, previewed before it is filed

What Bulk Document Upload Does.

Bulk document upload lets a contractor admin drag many Worker files into ComplyFlow at once. Each file is matched to a Worker and to the requirement it satisfies, previewed inline, and categorised before it is filed, instead of being opened and attached one profile at a time.

  • Drag the folder, not the file. Every file in one drop, rather than one upload for each Worker and each requirement they hold.
  • Matched against what is actually outstanding. ComplyFlow already knows which requirement each Worker is short, so the match is made against a real gap and not a guess at a filename.
  • You see the document before it is filed. An inline preview sits beside the match, so a white card and a first aid certificate do not get swapped in a hurry.
  • Categories follow your business, not ours. Document categories are configurable, so a licence, a ticket, and an insurance certificate land where your admins expect them.

What It Covers

The Whole Upload Path, Not the Demo Path.

Everything below is in the product today and documented in the Help Centre.

How It Works

Three Screens, and the Job Is Done.

Real screens, not diagrams.

The List of What Is Actually Missing.

Before you upload anything, the requirements dashboard tells you which Workers are short and what they are short of, per Client and per site. That list is what the upload is matched against, which is why the matching is worth having: ComplyFlow is not reading filenames and hoping.

  • Per Worker, per Client, per site
  • Approved, expired, or pending review
  • Filter to one site before you start

Drop the Folder and Confirm the Matches.

Drag the files in. Each one is offered against a Worker and a requirement, with the document previewed beside the match so you can see what you are confirming. Change a match, set the expiry date, and commit the lot in one pass.

  • Inline preview, no downloading
  • Change a match before you commit
  • Expiry dates captured as you go

Approval Goes Where It Should, Not Where It Lands.

Once filed, each document routes to the approver named for its risk level. If it is rejected, the reason goes back to the person who uploaded it with what to fix, so the second attempt is not another guess.

  • Approval categories by risk level
  • A stated reason on every rejection
  • Superseded documents kept in the history

Questions

Questions About Bulk Document Upload.

How many documents can I upload at once?

There is no per-batch limit published for this feature. In practice contractor admins drop a full crew’s folder in one action and work through the matches on one screen. If you have a very large migration, our onboarding team does it with you rather than leaving you to it.

How does ComplyFlow know which Worker a file belongs to?

It matches against what each Worker is actually outstanding, taken from the requirements dashboard, rather than guessing from the filename alone. Every match is shown to you with the document previewed beside it, and you can change any of them before you commit.

What file types can I upload?

The common document and image formats a ticket or certificate arrives in, including PDF and photographs taken on a phone. If a file will not upload, the Help Centre article on rejected documents covers the usual causes.

Who can run a bulk upload?

A Contractor Admin on the supplier side, and staff with the matching permission on the Client side. A Restricted Admin can do it for the Clients they have been given, and no others.

Does a bulk upload skip approval?

No. Every document still routes to the approver named for its risk level and is approved by a person. Bulk upload changes how files get in, not who signs them off.

What happens if I upload a document that replaces an existing one?

The new document supersedes the old one and the old one stays in the history. Nothing is deleted, so the record still shows what was held and approved at any date you are asked about.
