Permits to Work

Raise It on Site. Approve It on a Phone.

A permit that has to be signed in the site office is a permit that waits for somebody to walk back to the site office. Raise it in the Live Access app at the location it applies to, and let the supervisor approve or reject it from wherever they are.

What On-the-Go Permits Do.

ComplyFlow permits run on both the desktop and the Live Access app. A Worker selects the location, fills in the permit, and submits it from site. A supervisor reviews the detail, adds comments, and approves or rejects it on their phone, and the decision is logged against the permit either way.

  • Both platforms, the same permit. Raise and approve on the desktop or in the Live Access app. It is one record, not a phone version and a real version.
  • Location-specific configuration. What a permit asks for can differ by site, so a confined space permit at one plant is not the generic one.
  • Sections, reviewers, and related permits. Permit type, sites, expiry, permit holder, and sections each with their own reviewer and status.
  • The supervisor answers where they are. Review the detail, add a comment, approve or reject, and the submitter is told immediately.

What It Covers

What a ComplyFlow Permit Carries.

Everything below is in the product today and documented in the Help Centre.

The Permit Itself

On the Phone

Behind It

  • Built on the Forms module

The same branching, section reviewers, and logged history as every other ComplyFlow form.

    • Shared engine
  • Permit questions on a form, opens the Help Centre in a new tab

A permit question is a question type, so a permit can sit inside a wider workflow.

    • Question type
  • Every change logged

Who submitted, who reviewed, what they said, and when.

    • Audit trail
  • Status on the record, not in an inbox

Submitted, under review, approved, rejected, or expired, on the permit itself.

    • Live status
  • Tied to the same site access record

The permit, the induction, and the sign-in are the same record, not three systems.

    • One record

Every item links to the Help Centre article that documents it.

How It Works

Raised at the Valve, Approved From the Car Park.

Three screens on one hot work permit.

Raise It Where the Work Is.

The Worker opens Live Access, selects the location, and fills in the permit for the job in front of them. The permit type decides what is asked, and the location can change it, so a confined space permit at one plant is not a generic form somebody adapted.

  • Location picked on the phone
  • Permit type and location decide the questions
  • Submitted without walking back to the office

The Supervisor Decides on Their Phone.

The supervisor opens the permit, reads the detail, adds a comment, and approves or rejects it in a tap. The submitter is told straight away. On a big site this is the difference between work starting at 8am and work starting after the supervisor has finished their round.

  • Review the full detail, not a summary
  • Comments go back with the decision
  • Approve or reject in one tap

The Permit and the Gate Are the Same Record.

An area supervisor can see who is signed in under the permit, because the permit, the induction, and the site sign-in sit on one record rather than in three systems that agree on a good day. When the permit expires, it expires on that record.

  • Sign in and out visible against the permit
  • Expiry on the permit, not in a diary
  • Every change logged with who and when

Questions

Questions About Permits on the Phone.

Can a permit be raised and approved entirely on a phone?

Yes. A Worker raises it in the Live Access app by selecting the location and filling in the permit, and a supervisor reviews the detail, adds comments, and approves or rejects it on their phone. The same permit can also be handled on the desktop; it is one record either way.

Do permits work offline?

Live Access needs a connection, because the record it reads is live and the point of the permit is that the decision and the site status are current. The Inspection app is the one built to work without signal.

Can the same permit type ask for different things at different sites?

Yes. Permits carry location-specific configuration, so a permit type can differ by site rather than forcing every site onto one generic form.

What holds a permit together with the rest of site access?

One record. The permit, the induction the Worker completed, and the sign-in at the gate are the same record, which is why an area supervisor can see who is signed in under a given permit.

Can several people review one permit?

Yes. Permits are built on the Forms module, so a permit carries sections each with their own reviewer and status, and related permits can be linked so a job is reviewed as a set.

What does the app cost?

Live Access is free on the App Store and Google Play. It signs in with a ComplyFlow account, which your employer or Client provides.
