Identity & Login

One Email. Every Account You Hold.

A safety manager across four business units, or an electrician who works for two contractors and is on a Client’s staff, holds several ComplyFlow accounts. Multi-identity puts all of them behind one email address, with a switch between them.

  • Safety & HSE
  • Contractors
  • Labour Hire
  • IT & Security
One login. Every role. Switch without signing out.

What Multi-Identity Does.

Multi-identity lets one person hold several ComplyFlow accounts under a single email address. A safety manager across four business units, or a Worker engaged by two contractors, signs in once and switches between the accounts they hold instead of keeping a separate login and URL for each.

  • One email address, for good. The same address follows a person from contractor Worker to Client staff member, across every business unit they touch.
  • Switch, do not sign out. Move between the accounts you hold without hunting for a second password or a second login URL.
  • Each identity keeps its own permissions. Switching does not merge access. What you can do in one account has no bearing on another.
  • Single sign-on still applies. Where a Client uses Microsoft or Okta single sign-on, staff sign in with the account they already have.

What It Covers

Who Ends Up With More Than One Account.

Everything below is in the product today and documented in the Help Centre.

The Situations It Handles

  • One person, several business units, opens the Help Centre in a new tab

A safety manager who covers four divisions of the same group, each with its own account.

    • Enterprise
  • A Worker with two employers

A tradesperson engaged by two contracting businesses at the same time.

    • Worker
  • Contractor today, staff tomorrow

Somebody who joins a Client permanently keeps the same email and picks up a new identity.

    • Transition
  • Admin on one side, Worker on the other

A contractor administrator who is also a Worker on site holds both.

    • Both roles

What Stays Separate

  • Permissions, per identity, opens the Help Centre in a new tab

Being an administrator in one account confers nothing in another.

    • Scoped
  • Restricted Admin scope holds

Where an identity is a Restricted Admin, it still sees only its assigned Clients.

    • Per Client
  • Records stay where they belong

Documents, requirements, and site access sit against the identity that holds them.

    • Per account
  • Every action attributable

The audit trail records which identity took the action, not just which email.

    • Audit trail

How It Works

One Person, Three Accounts, One Login.

Follow a safety manager who covers four divisions.

The Same Email, Whatever Role You Are In.

Your work email address is the constant. Each account you are given, in whichever business unit or for whichever contractor, attaches to it rather than requiring a separate registration with a separate password.

  • One address across every identity
  • New identities attach to the existing address
  • Microsoft or Okta single sign-on where the Client uses it

Switch Accounts Without Signing Out.

Move from the northern division to the southern one, or from your contractor account to the Client’s staff account, in the product. No second login URL, no password reset because you cannot remember which address you used for which account.

  • Switch in the product
  • No second URL to find
  • The same identity carries into the mobile apps

Nothing Bleeds Between Them.

Each identity carries its own permissions, its own records, and its own scope. Being an administrator in one account gives you nothing in another, a Restricted Admin identity still sees only its assigned Clients, and the audit trail records which identity acted.

  • Permissions per identity, never merged
  • Restricted Admin scope unchanged
  • Audit trail names the identity, not just the email

Questions

Questions About Multi-Identity.

Does one login mean one set of permissions?

No, and this is the question worth getting right. Each identity keeps its own permissions and its own scope. Being an administrator in one account gives you nothing in another. Multi-identity is about how you sign in, not about what you can reach once you are in.

Who actually needs this?

Anyone holding more than one ComplyFlow account. A safety manager across several business units, a Worker engaged by two contractors, a contractor administrator who is also a Worker on site, and anyone who moves from a contractor to a Client permanently.

What happens when a contractor Worker joins the Client as a staff member?

Their email address stays the same and a new identity attaches to it. Their history on the contractor side does not disappear and does not merge into the new one; it stays where it belongs.

Does this work with single sign-on?

Yes. Where a Client has Microsoft or Okta single sign-on configured, staff sign in with the account they already have, under your existing MFA and conditional access policies.

Does it work in the mobile apps?

Yes. Live Access and the Inspection app sign in with the same ComplyFlow account, so the identity a person holds on the desktop is the one they carry on the phone.

Can I be in two accounts at the same time?

You switch between the accounts you hold rather than operating in two at once. The switch is inside the product, so it does not need a second login URL or a second password.
